📖
Welcome to the OgreBill Complete User Guide — your go-to reference for everything in the app.
OgreBill is a professional invoicing app built for freelancers, solo entrepreneurs, and small businesses who want to look polished and stay organised without the complexity of enterprise software. Create beautiful branded PDF invoices in seconds, track expenses, monitor business health with real-time analytics, and share via email, WhatsApp, AirDrop, print, QR code, or local network — all from your pocket. No subscriptions required for core features, no internet needed, and your records stay on your iPhone unless you choose to share, export, or back them up.
🛡️ Important — Your data exists only on this device.
OgreBill is 100% offline. Nothing is stored on any server or cloud. If your phone is lost, stolen, broken, or reset,
your invoices and records are gone forever unless you have a backup.
Please back up regularly to iCloud Drive, another trusted Files-compatible cloud folder, or another device.
→ Go to Backup & Restore

When you open OgreBill for the first time, a step-by-step setup wizard guides you through configuring your business. Each step has a unique colour theme and a progress indicator at the top.
Step 1 — Welcome
A welcome screen introduces OgreBill's key features: professional invoicing, expense tracking, analytics, multi-sharing, and local backups. Tap Get Started to begin.
Step 2 — Backup Destination
Choose where your backups will be saved. Pick a folder on your device — ideally inside iCloud Drive for automatic cloud sync. If a previous backup is found, you can restore it right here.
Step 3 — Location
Select your Country and Currency. OgreBill offers dedicated profiles for 10 countries — Hong Kong, United States, New Zealand, Australia, Canada, United Kingdom, Ireland, Netherlands, Sweden, and Switzerland — with tax labels, currency formatting, and field configurations set automatically. A Generic International profile is always available.
Step 4 — Business Information
Enter your business name, owner name, phone, email, and address. Optionally upload a business logo from your photo library — it will appear on all your PDF invoices.
Step 5 — Tax Configuration
Configure your tax rates. Country profiles pre-fill tax names (e.g. GST for NZ, Sales Tax for US). You can add multiple tax rates and set a default. You can also enter your Tax ID / GST number here.
Step 6 — Payment Methods
Add your bank details, PayPal, or other payment methods. You can attach QR code images to payment profiles. These appear on your invoices so clients know how to pay you. Optional — you can skip and configure later.
Step 7 — Network Sharing
Set up Wi-Fi or Personal Hotspot sharing for transferring invoice PDFs to nearby devices. Add trusted network details only if you want clients to join through a QR code. Optional — you can skip and configure later.
Tip: You can always change any of these settings later from the Settings screen. The setup wizard simply gets you invoicing faster.
After finishing setup you'll see a celebration screen. You can choose OgreBill Professional with a monthly or yearly plan, or continue with the free version and its limited feature set.
The home screen has a bottom navigation bar with tabs for each major section:
- Invoices — your invoice list
- Clients — customer management
- Services — reusable line items
- Expenses — expense tracking
- Analytics — business insights (premium)
- Settings — all configuration
Tip: Go to Settings → Navigation Menu Order to drag and rearrange the tabs in the order that suits your workflow.
At the top of the Invoices, Clients, and Expenses lists you'll see summary cards showing quick stats — this month's revenue, outstanding amounts, invoice counts, etc.
To keep them permanently collapsed, go to Settings → Collapse Summary Cards.
The invoice list shows all your invoices with colour-coded status badges:
- Draft — grey, still editable

- Notes — add any extra information or terms for the client.

- A live PDF preview of your invoice in the selected template theme.
- A template picker — switch between 5 colour themes: Ocean Blue (default), Graphite, Emerald, Coral, Violet.

Your invoices, clients, and financial records exist only on your device. OgreBill is offline-first — nothing is stored on a server.
Without a backup you could lose everything if your phone is lost, stolen, broken, factory-reset, or if the app is accidentally deleted.
Real risk: Even a routine iOS update can sometimes cause data loss. A 30-second backup today can save months of work. Back up now — and back up often.
Create a backup file on demand and store it wherever you like.
- Open Settings → Data Safety.
- Tap "Set Backup Destination" and choose a folder. For cloud protection pick a folder inside iCloud Drive or another trusted Files-compatible cloud folder.
- Tap "Create Local Backup Now".
- A timestamped
.db file (e.g. backup_20260418T143022.db) is saved to your chosen folder.
- You will see a confirmation with the file name and size.
Tip: Store backups in a cloud-synced folder so they survive even if your device is lost. iCloud Drive is the easiest option on iPhone.
Where to find backups on your iPhone: All database backup files are also accessible in the Files app → On My iPhone → OgreBill folder. You can browse, copy, AirDrop, or move them from there at any time.
Security note: OgreBill backup files are standard local database (.db) files, not app-encrypted files. Store exported or shared backup copies only in trusted device, cloud, or computer storage.
Let the app back up on a schedule so you never forget.
- Go to Settings → Data Safety.
- Make sure a backup destination folder is set.
- Toggle "Auto Backup" on.
- Choose a frequency: Daily (recommended), Weekly, or Monthly.
- Optionally enable "Incremental Backup" — saves only changes since the last backup.
Auto backups run silently. Check the last backup date on the Data Safety screen.
Where are auto backup files saved? They are regular .db files saved in the destination folder you chose — the same place as manual backups. On iPhone, open the Files app and navigate to your backup folder to see them. They are also always accessible in Files → On My iPhone → OgreBill. If your destination is inside iCloud Drive, the files sync automatically and are accessible on your Mac in Finder → iCloud Drive.
Note: Auto Backup is a premium feature available with OgreBill Professional.
Restore from a backup file that lives anywhere on your device, or received via AirDrop, email, or messaging.
- Go to Settings → Data Safety.
- Tap "Import Backup from File".
- Browse to the
.db file and select it.
- The app validates the file, then asks you to confirm.
- Your current data is replaced and the app restarts.
Tip: On iPhone, if someone AirDrops you a backup file it lands in Files → Downloads. Use "Import Backup from File" to pick it up.
Browse all backups saved to your destination folder and restore any one.
- Go to Settings → Data Safety.
- Scroll to "Available Backups" — sorted newest first.
- Tap the backup you want to restore.
- Confirm. Your current data will be replaced.
- The app restarts with the restored data.
Important: Always create a fresh backup before restoring an older one — so you can go back if needed.
Every OgreBill backup is a standard .db file visible in the Files app on your iPhone.
Option A — iCloud Drive (easiest, automatic):
- Set your backup destination to a folder inside iCloud Drive.
- All backups sync to iCloud automatically.
- On your Mac: Finder → iCloud Drive — same folder, same files.
Option B — AirDrop:
- Open Files app → navigate to your backup folder.
- Long-press a
.db file → Share → AirDrop → select your Mac.
Option C — USB cable (Finder):
- Connect iPhone to Mac with USB.
- Finder → select iPhone → Files tab.
- Expand OgreBill → drag backup files to your Mac.
Tip: Keep at least one backup on your Mac or external drive as a last line of defence.
Export a human-readable Excel workbook with all your data:
- Go to Settings → Data Safety → Export All Data.
- An
.xlsx workbook is generated with sheets for Invoices, Clients, Services, Expenses.
- Save or share the file via the share sheet.
Files → OgreBill folder: Exported Excel files and all database backups are also saved in the Files app → On My iPhone → OgreBill folder, so you can always find them even without opening the app.
Note: CSV / Excel export is a premium feature available with OgreBill Professional.
- Back up at least once a week — daily if you invoice frequently.
- Use a cloud-synced folder such as iCloud Drive or another trusted Files-compatible cloud folder.
- Keep multiple backups — don't delete old ones too soon.
- Treat
.db backups like financial records — keep them only in trusted storage.
- Test a restore occasionally — verify your backups actually work.
- Export to Excel periodically — a spreadsheet is a readable safety net.
- Enable Auto Backup so you're protected even when you forget.
- Copy at least one backup to your Mac.
☁️ Is my data stored online?
No. OgreBill is completely offline-first. All your data stays on your device. Nothing is uploaded to any server. Data only leaves your device when you choose to export, share, or print.
⏳ What happens if my subscription ends?
Basic invoicing features remain free forever. You can still create, view, and share invoices, manage clients and services, track expenses, and back up your data.
Premium features requiring OgreBill Professional: Analytics dashboard, Email sharing, CSV/Excel export, Auto Backup, Advanced tax configuration, Payment tracking.
🚫 How do I cancel my subscription?
iPhone: Settings app → tap your name → Subscriptions → OgreBill → Cancel.
Or tap "Manage Subscription" in OgreBill's Settings.
🔄 How do I restore a backup?
Option A — From backup list: Settings → Data Safety → scroll to "Available Backups" → tap one.
Option B — Import a file: Tap "Import Backup from File" → browse to any .db file.
Both validate, replace your data, and restart the app. Always create a fresh backup before restoring.
📥 How do I export all my data?
Settings → Data Safety → Export All Data. Creates an Excel workbook with all invoices, clients, services, and expenses. Individual invoices can also be exported as PDF from the Share screen.
🌐 Which countries does OgreBill support?
Dedicated country profiles for Hong Kong, United States, New Zealand, Australia, Canada, United Kingdom, Ireland, Netherlands, Sweden, and Switzerland — each with localised tax labels, currency formatting, and invoice field configurations. A Generic International profile is always available for any other country.
🔐 Why can't I delete a sent or paid invoice?
For audit integrity, Sent, Paid, and Cancelled invoices cannot be deleted. To void a sent invoice, change its status to Cancelled instead.
💎 What subscription plans are available?
OgreBill Professional offers Monthly and Yearly plans. In the US App Store setup these are $9.99/month and $69.99/year; Apple may show local currency and taxes. Both unlock all premium features and are managed through the App Store.
🔒 How do I lock the app?
Settings → App Lock — toggle on. Uses Face ID or Touch ID. Biometric data stays on your device and is never accessed by OgreBill.
Send us an email and we'll get back to you as soon as possible. Please include your device model, OS version, and a description of the issue.
